The Wedding Day Childcare Timeline: An Hour-by-Hour Template

Most childcare problems at weddings are not childcare problems. They are timeline problems — a drop-off scheduled after guests are already seated, a children's meal served forty minutes after the adults, a ceremony exit with no one assigned to collect the flower girls.

Here is the hour-by-hour template we work from. Copy it into your planning document and adjust the times to your own day.

Wedding day timeline being planned at a South Florida venue

T–60 minutes · Setup

The team arrives before coverage officially begins and installs the Kids Lounge: creative corner, quiet reading nook, activity stations, wind-down area. The lead nanny walks the space with your coordinator and confirms the route between the Lounge and the reception.

T–30 minutes · Drop-off

Parents bring children in before guests are seated. Names, ages, allergies and mobile numbers are confirmed at the door. Thirty minutes is not padding — it is what lets a shy four-year-old settle before the room fills up.

Ceremony

Two versions. If children are in the wedding party, a nanny walks them to the aisle and collects them the moment they finish the processional. If they are not, they stay in the Lounge with deliberately quiet activities so the ceremony audio stays clean.

Cocktail hour

Family photos first, if the photographer needs the children. Then back to structured play. This is the hour parents most often tell us they had forgotten was possible: a full drink, a full conversation, both hands free.

Dinner

The children's meal is served at the same time as the adult service, in the Lounge. This single detail protects the entire dinner hour. Serving children late is the most common scheduling mistake we see, and it pulls parents away from the table exactly when the room is at its warmest.

Speeches and first dance

The lowest-energy window of the night: films, crafts, reading. If the couple wants the children on the floor for the first dance, we bring them in and take them back out — no negotiation in front of the guests.

Late evening · Wind-down

Lights low, blankets out, quiet corner active. Younger children rest while their parents stay on the dance floor. This is the part of the timeline that decides whether your reception thins out at nine o'clock or runs to the end.

Close · Handover

Each child is handed to their own parent individually, with a short note on how the evening went. The space is broken down and returned exactly as it was found. Nothing for your planner or the venue to deal with.

Three timeline details worth protecting

  • Drop-off before guest seating, never after.
  • Children's meal at adult service time, not later.
  • A named person for the ceremony exit if children are walking down the aisle.

Get those three right and the rest of the evening tends to look after itself.
