How Many Nannies Do We Need for Our Wedding? Ratios, Ages and Real Examples

"We have about eight kids coming — is one nanny enough?" It is the question we are asked most often, and the answer is almost always no. Not because eight is a large number, but because eight children of different ages is not one group. It is two or three.

The ratios we staff to

  • Infants (0–12 months): one nanny per child.
  • Toddlers (1–3 years): one nanny per two to three children.
  • Young children (4–7 years): one nanny per four children.
  • Older children (8–12 years): one nanny per six children.
  • Mixed-age groups: always staffed to the youngest child present.

That last rule is the one couples underestimate. A single fourteen-month-old changes the staffing of the entire room, because an infant cannot be left while a nanny walks a seven-year-old to the bathroom.

Three real guest lists

A Coral Gables wedding, 5 children: ages 2, 4, 6, 8, 9. Two nannies. The toddler anchors one, the older four share the second, and the group can split between the Lounge and a quiet corner when energy shifts.

A Key Biscayne destination wedding, 11 children: ages 8 months through 11 years, families flying in from Bogotá and New York. Four nannies — one dedicated to the infant, one to the two toddlers, two across the older group, all bilingual.

A Palm Beach reception, 6 children: all between 6 and 10, coverage 6pm to midnight. Two nannies, with the second staying through wind-down so the parents could close the dance floor.

When to add a nanny beyond the ratio

  • The Kids Lounge is not adjacent to the reception, so every transition needs an escort.
  • Coverage runs late and children will need a sleep or wind-down space.
  • A child has a medical, sensory or dietary need that requires focused attention.
  • Children are attending both ceremony and reception with a long gap between them.

Why under-staffing costs more than it saves

An under-staffed room turns into supervision instead of care. Nobody is doing crafts; someone is just making sure no one gets hurt. Parents sense it within twenty minutes and start drifting back — which is precisely the outcome you hired childcare to avoid.

We build the staffing plan from your actual ages and hours rather than a headcount. Send us the list of children and their ages and you will have a personalized proposal within 24 hours.
